Team members manually type their punched hours in the job detail drawer. The app does not auto-track time.

My Calendar = personal view of your upcoming and current jobs.
Time Sheet = hours record of completed work โ€” what was done and how long it took. Admins see all team members' hours; team members see only their own.

No. The Time Sheet is read-only for all users. Hours can only be entered by the team member themselves from My Calendar, and only before saving.

No. There is no export feature. For payroll, review the hours directly in Month view and note them manually.

Admin and Owner (the managing partner). Team Calendar is the primary morning review screen for checking team work status. Team members can also view it, but cannot edit jobs from here.

Issue jobs appear in the Issues counter on the stats bar at the top of Team Calendar and Time Sheet. Click the Issues card to instantly filter to all issue-flagged jobs.

Yes โ€” admin can click any job to open the detail drawer and add a comment. The team member will see it on their next login.

No. Admins cannot change a job's status from Team Calendar. Only the assigned team member can update their own job status.

There are no restrictions on how you define them. We suggest creating one per service you offer and one per back-office operation. Think of a category as a service or workflow area โ€” the jobs within it are the individual steps. For example: Category = "GST Filing", Jobs within = "GST Data Collection", "GST Reconciliation", "GST Filing".

Yes โ€” Team Calendar has a Category dropdown filter that uses these categories. You can filter to see all jobs of one type (e.g. all GST Filing jobs across the team).

No โ€” one category per slot only.

Jobs, Days, and Time are usage stats from slot activity. Revenue is entered manually by you in your own tracking tool โ€” TidySlot displays what you input. Estimated Cost is calculated from each team member's hourly rate multiplied by their logged time on jobs in that category.

Jobs continue to run normally โ€” they just display without a category label. No job history or time sheet data is affected.

Suggested: GST ยท Income Tax ยท Audit ยท ROC/Companies Act ยท TDS ยท Accounts/Bookkeeping ยท Advisory/Consultation ยท Internal/Admin. Start with these and add only when a genuinely new service area is needed.

Categories are sorted alphabetically. To control the display order, use a number prefix: "01-GST", "02-Income Tax", "03-Audit". This also communicates workflow sequence to your team.

Purely visual โ€” but it's useful for communicating meaning. For example, use green for revenue-generating services, grey for internal/admin work, or any colour-coding convention that works for your organisation.

No limit. That said, 8โ€“12 well-named categories is enough for most CA firms.

โฐ Time Slot 20 questions

Same feature โ€” the sidebar label and page heading say "Time Slot"; the URL path uses "time-blocker". Both refer to the same module.

The slot name is required. Category is recommended but may be optional. Member assignment and URLs are done in separate steps after creation.

Yes โ€” multiple members can be assigned to one slot. Each gets their own independent job instance.

1. Click Add โ€” enter name and category.
2. Use "Assign Team Members" icon to add members.
3. Use "Block Days" icon โ†’ select member โ†’ set Recurring Pattern (dates/days).
The slot then fires automatically on the selected dates.

Daily, Weekly, Monthly, Quarterly, Yearly.

Yes โ€” the date grid in the Recurring Pattern modal lets admin select any combination of dates from 1โ€“31.

Slots recur indefinitely โ€” there is no built-in end date. This is by design. Admins can archive or delete a slot at any time to stop future occurrences.

Yes โ€” Block Days is where admin selects which dates/days a slot fires for a specific team member, via the Recurring Pattern modal.

Assign Team Members = who works this slot.
Block Days = when the slot fires (sets the recurring schedule).
These are two separate actions on the same slot โ€” you must do both for a slot to appear on a team member's calendar.

Yes โ€” slots fire on all selected dates regardless of Week Off settings. The Week Off setting is informational. Team members are expected to be proactive and review days off as well, or complete the work in advance.

Yes โ€” there is no public holiday calendar in TidySlot. Slots fire on all selected dates regardless of holidays. Plan your slot schedules accounting for holidays manually via Block Days.

Stops all future job instances from appearing in team members' calendars. Historical time sheet records are fully preserved. Use Archive (not Delete) when a slot is no longer active.

Yes โ€” go to the archived list and click Restore to reactivate the slot and resume future occurrences.

Deleted = all history is permanently erased. Past time sheet entries are deleted because deleting signals the slot was created by mistake. If you want to retain the time sheet records, use Archive instead of Delete.

Note: These questions cover suggested best practices for organising job lists โ€” not TidySlot features. The structures described here work well for many service firms but may not apply to every organisation. Adapt what fits.

A job list is the file where your actual client work lives โ€” a Google Sheet, Notion database, Airtable table, or any web-based tool where you track which clients are at which stage. The Job List Link in a TidySlot slot points your team member directly to this file when their job appears on their calendar. Without it, the slot is just a reminder. With it, the slot is a one-click entry into the work.

Every firm's work falls into four types:
Type 1 โ€” Recurring Client Services: Monthly GST, quarterly TDS, annual ITR โ€” services delivered to clients on a fixed cycle.
Type 2 โ€” Recurring Backend Operations: Billing, payroll, team training, social media โ€” internal operations that repeat on a schedule.
Type 3 โ€” Software-Linked Reviews: Court date checks, government portal monitoring, GSTN filings โ€” jobs where the "list" is a software dashboard, not a spreadsheet.
Type 4 โ€” Non-Recurring Jobs: One-off client requests and internal tasks captured as they arise.

One list per service. Within each list: rows = clients, columns = time periods (months or quarters depending on the service cycle), cells = service-specific status dropdowns. Create a new tab each financial year โ€” the file URL stays the same, so your TidySlot slot link never needs updating. Adding a new client means adding a new row only โ€” no changes in TidySlot.

One list per service โ€” always. Combining services into a single sheet defeats the purpose of one-click access and makes status tracking meaningless. Each service has different stage dropdowns, different cycle lengths, and often different team members. Keeping them separate is what makes the Job List Link useful.

Use the same file โ€” add a new tab for the new financial year. The file URL stays constant, so the Job List Link in your TidySlot slot never needs to be updated. This is by design: the slot points to the file, not to a specific tab.

No โ€” TidySlot works with any tool that has a URL. Google Sheets, Notion, Airtable, ClickUp, Monday.com, Zoho Sheet, Excel Online, government portals, or any custom web-based software. The Job List Link field accepts any valid web URL. The team member clicks โ€” the browser opens whatever is at that link.

Always use service-specific stages โ€” they show your team exactly where the work is and what comes next. A GST return list uses stages like Data Received โ†’ Reconciliation โ†’ Filed โ†’ Acknowledgement. A bookkeeping list uses Data Pending โ†’ Purchase Entries โ†’ Bank Reconciliation โ†’ Finalized. Generic "Pending / Done" tells you nothing useful about where a client's work is stuck.

โœ… Exception: non-recurring job lists use a universal set โ€” Pending โ†’ In Progress โ†’ Waiting For โ†’ Queries โ†’ Completed โ€” because the jobs are too varied for service-specific stages.

Two roles work the non-recurring list:
The Adder (client-facing team member or admin) captures a new job the moment it comes in โ€” they have a Quick Link to the sheet and add a row immediately. The job waits.
The Doer (executor) has a daily recurring TidySlot slot that opens the same sheet filtered to their name. They review and work through pending jobs at a fixed structured time each day โ€” not whenever a new job appears. This prevents mid-session interruptions: the event is captured immediately, but the work happens at the right time.

The direct URL of the exact file the team member needs to open to begin work โ€” for example, the URL of your GST Returns sheet for GST slots, or your TDS tracking Notion page for TDS slots. Not a folder, not a dashboard, not a homepage. The link should open the work directly โ€” that is the whole point.

Yes โ€” the Help Centre provides pre-built Excel templates for CA firms, CS firms, service businesses, and law firms. Each template includes all four job types, sample client data, and service-specific status dropdowns pre-configured.

Yes โ€” multiple admins are supported. All admins have the same management access.

Yes โ€” admins can be assigned slots and their jobs appear in My Calendar just like any team member.

Slots remain assigned but the member cannot log in to complete them. Past job records and time sheet data are fully preserved.

No โ€” email addresses cannot be changed within TidySlot. To use a different email, ask your admin to invite you with the new email and revoke the old account.

No โ€” display names cannot be changed directly. Contact your admin if your name needs to be updated.

On the login screen, click the "Forgot Password" link. Enter your email address. You will receive a reset link in your inbox to set a new password.

It appears in the top navigation bar of the app โ€” it's how your organisation's name is displayed throughout TidySlot.

No โ€” admins cannot change team members' passwords. Each user manages their own password from My Account. If forgotten, use the "Forgot Password" link on the login screen.

No data export is available before deletion.

Requires contacting support (same as account deletion, which is gated). Email support@tidyslot.com.

Go to My Account โ†’ scroll to the bottom โ†’ click "Delete this Account". A tooltip will prompt you to contact support at support@tidyslot.com to complete the deletion. This step prevents accidental removal.

Both slots appear on the calendar with no conflict warning. TidySlot shows hours (not specific times), so overlaps are displayed but not flagged.

The sheet opens in a new browser tab and prompts the team member to sign in to Google. The team member must have access to the sheet independently of TidySlot.
