Before You Go on Leave

Your TidySlot calendar continues running while you're away. Here's what to do before you leave โ€” and what your admin needs to handle โ€” so nothing falls through the cracks.

Current status: TidySlot currently uses an ownership model for leave โ€” work belongs to you, and handover is a manual coordination step. A dedicated leave handover feature (where you can temporarily shift slots to a colleague's calendar) is planned for a future release. See the Planned Feature section below.

How leave currently works in TidySlot

Your time slots are assigned to you. When you're on leave, those slots continue to appear on your calendar โ€” TidySlot does not have an automated leave management feature and there are no current plans to add one. Your slots continue to fire on your calendar while you are away โ€” TidySlot does not automatically know you are absent. There are two things that need to happen before your leave:

  1. You review your upcoming slots and either complete them early or coordinate with a capable colleague to cover them.
  2. Your admin temporarily reassigns critical slots to the covering colleague in the Manage Time Slot settings โ€” so those jobs appear on the colleague's calendar, not yours.

This requires coordination, but it ensures nothing is left unassigned and the admin's Team Calendar view stays accurate while you're away.

Your checklist โ€” before you leave

  • Open My Calendar and switch to Week or Month view โ€” review all slots scheduled during your leave period
  • Identify which slots can be completed before you leave (do these first)
  • List slots that need coverage โ€” job name, date, and any context your covering colleague will need
  • Identify a capable colleague for each coverage item โ€” check with them that they can cover
  • Notify your admin with the coverage plan โ€” so they can reassign slots in Manage Time Slot
  • Share relevant job list sheets with the covering colleague (Google Drive / Sheets access)
  • Brief the colleague on any in-progress jobs โ€” especially ITR or audit work mid-cycle
  • Update TidySlot slot statuses on your return โ€” mark any slots that were covered as Done or Not Applicable

  • Receive the team member's coverage list before their last day
  • Go to Manage Time Slot โ†’ find each slot that needs coverage during the leave period
  • Edit each slot: change the assigned team member to the covering colleague for the leave dates
  • Confirm the covering colleague can see the reassigned slots on their My Calendar
  • Brief the covering colleague if the how-to guide URL isn't sufficient for the job type
  • On the team member's return: go back to Manage Time Slot and reassign slots back to the original person
  • Check Team Calendar on return day โ€” confirm the returning team member's slots are back on their calendar

Leave Handover โ€” Planned for a future release

A dedicated Leave Handover feature is on the TidySlot roadmap. When released, team members will be able to select a date range, pick a covering colleague, and automatically shift their slots to that colleague's calendar for the leave period. Slots return to the original team member automatically on the return date. No admin action required. Until this feature ships, use the manual admin reassignment process described above.
